Executive Assistant

Are you an organized, detail-oriented professional who thrives in a fast-paced, dynamic environment? TrueCare is seeking an experienced Executive Assistant to provide high-level administrative support to our executive leadership and senior staff. This is an exciting opportunity to be part of a team dedicated to making a positive impact in the community through compassionate healthcare.

In this role, you’ll manage complex schedules, plan and coordinate meetings, handle sensitive information, and ensure smooth day-to-day operations—all while representing TrueCare’s mission and values in every interaction.

Key Responsibilities:

  • Manage calendars, schedules, and appointments for executive leadership and senior staff.
  • Plan and coordinate meetings, conferences, and events—handling logistics, preparing materials, and recording minutes.
  • Arrange travel, process expense reports, and ensure timely submission of necessary documentation.
  • Draft, edit, and distribute correspondence, reports, presentations, and other materials.
  • Maintain organized records and files, ensuring confidentiality of sensitive information.
  • Support project planning and execution, and assist in the facilitation of contracts, MOUs, and other agreements.
  • Greet visitors and serve as the first point of contact for internal and external stakeholders.
  • Supervise and provide guidance to lower-level clerical staff as needed.
  • Assist with data collection, analysis, and report preparation to support management decision-making.
  • Proactively manage competing priorities and multiple projects in a fast-paced environment.

Qualifications:

Required:

  • High School Diploma or equivalent.
  • 5+ years of administrative support experience at the management or executive level.
  • 50+ words per minute typing speed.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge of standard office administrative practices and procedures.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • California driver’s license, clean driving record, and proof of insurance (for travel between sites).

Preferred:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Experience in a Federally Qualified Health Center (FQHC) or healthcare environment.
  • Experience with reviewing, editing, and maintaining contracts.

The pay range for this position is $27.38 - 39.70 per hour.

Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical to allow for future and continued salary growth.
